1. Information we collect
AIXCellence, LLC (“we,” “our,” or “us”) collects information that you provide directly to us, including:
- Booking details you enter when you schedule a call (name, email address, a phone number if you ask us to call you, company, any notes you add, and your time zone)
- Details you send through the Get Started form or the chat assistant on our website (name, work email, company, the message you write, and the page on our website you came from)
- What you type to the chat assistant. Our assistant is an AI: your messages are sent to an AI model provider to write its replies. We save the conversation (what you wrote, what the assistant answered, the page you started on, your language and time zone, whether you gave a reply a thumbs up or down, and whether it ended in a booking or a message to our team) so that our team can see how the assistant is doing and improve it. We keep conversations for 180 days and then delete them. We do not keep your network address: only a scrambled code made from it, used to limit abuse. A reply that worked well may be kept longer as an example for the assistant, but only after private details (email addresses, phone numbers, names and booking references) have been removed from it and a member of our team approves it. A booking, with its reference code and a record of any change to it, or a message to our team, is kept as described above. Please do not share passwords, payment card numbers, government ID numbers or health information in the chat. To have a conversation deleted, write to us (see section 6)
- Account information (name, email address, company name)
- Business data you provide to us when we build or operate systems for you
- Usage data about how you use our website. We count visits with our own tool, without cookies: for each page you open we keep the page, the name of the website you came from (not the page itself), the type of device (phone, tablet or computer), your country, which buttons are used, and how long and how far down you read an article. We never record what you type. We do not keep your network address: only a scrambled code made from it and your browser’s description, which changes every day and cannot be traced back to you or followed from one day to the next. We do not count visitors whose browser sends a Do Not Track or Global Privacy Control signal. We keep these counts for 18 months. Vercel Web Analytics and Speed Insights, which run on our website too, measure similar information without cookies
- Payment information processed through secure third-party providers
2. How we use your information
We use the information we collect to:
- Provide, maintain, and improve our AI automation services
- Review conversations with our chat assistant, and use replies that worked well (with private details removed) as examples to improve it
- Process transactions and send related information
- Send technical notices, updates, and support messages
- Respond to your comments and questions
- Monitor and analyze trends and usage
3. Data security
We implement industry-standard security measures, including:
- Encryption of data in transit and at rest
- Regular security reviews and vulnerability assessments
- Access controls and authentication protocols
See our Security page for more detail.
4. Data sharing
We do not sell your personal information. We may share data only:
- With your explicit consent
- To comply with legal obligations
- With service providers who assist in our operations (under strict confidentiality agreements)
- With the AI model provider that writes the chat assistant’s replies: it receives the text of your conversation with the assistant, and no other information about you
- With the providers that store your booking or message and send our confirmations and replies (a hosted database and an email service), and, if you book through a Google Calendar booking page, with Google, so your booking can be created, confirmed and added to calendars
5. Your rights
You have the right to:
- Access, update, or delete your personal information
- Opt out of marketing communications
- Request data portability
- File a complaint with relevant data protection authorities
