What is AI customer support?

AI customer support is a set of assistants that answer your customers by phone, chat and email using your own information. They handle the routine questions, collect the details a person will need, and pass anything complicated to your team with the whole conversation attached.

Support has a way of eating the day.

  • The phone rings while we're with another customer.

Some of those callers leave a message. Others try the next business.

  • Messages pile up overnight and get answered a day late.

By then the customer has moved on, or got angrier.

  • We answer the same ten questions every day.

Opening hours, delivery, prices, "does this work with…?"

  • Only one person knows how to handle the tricky ones.

When they're away, the queue stops.

Customers don't need a perfect answer. They need one that arrives.

What changes when answers don't have to wait.

  • Answers in seconds

Calls and chats get a reply straight away, in your tone, from your own information.

  • Covered after hours

Evenings, weekends and lunch breaks stop being dead time for your customers.

  • A quieter queue

The routine questions are handled, so your team deals with what's left.

  • Hand-offs with the full story

When a person is needed, they get the conversation, the customer's details and what has already been tried.

  • One set of answers

Phone, chat and email all answer from the same place, so customers hear the same thing everywhere.

A Friday, 6:40 PM.

A customer's order hasn't arrived and the shop has closed for the weekend. They call, then try the chat.

A teammate answers, looks up the order and tells them exactly where it is. When they ask about a refund, the conversation goes to your team with the order number and everything that was said.

On Monday morning your team opens one case that needs a decision. The rest were already sorted.

What are the routine questions costing you?

Change the numbers to match your business. Nothing you type leaves this page.

Starting numbers. Change them to yours.

That's about $4,992 a year of staff time on questions a teammate could answer.

Questions per week, times the share that are routine, times the minutes each takes, divided by 60, times the cost of an hour, times 52 weeks. It counts staff time only, not the customers lost while they wait. It's a rough estimate, not a promise of savings.

What your teammates take on.

They only know what you teach them, so what they say comes from your business and not from the whole internet.

A normal day looks like this

  • Answers calls and chats from your own information
  • Looks up an order, a booking or an account
  • Collects the details a person will need
  • Books callbacks and appointments
  • Sends your team a short summary of each case
  • Passes the complicated ones to a person

The goal is a customer who got what they needed, not one who got a script.

The hard ones go to a person.

A good setup knows which requests belong to your team, and passes them on with the whole conversation attached.

Is this right for your support?

Good fit if

  • Customers ask the same questions again and again
  • The answers already exist in your website, documents or policies
  • Calls and messages arrive when nobody can pick up

Probably not yet if

  • Almost every enquiry is unique and needs a specialist to think it through
  • Your policies aren't written down yet (we can help you write them first)

What happens after you get in touch.

  1. Step 1: Show us what customers ask

Share the questions you hear most and where the answers live. A website, a few documents and a conversation are plenty.

  2. Step 2: We set it up and test it with you

We agree the tone and the limits together, then try it on real questions before any customer sees it.

  3. Step 3: It goes live, and we keep improving it

We review what it couldn't answer and fill the gaps, so it gets a little better every week.

Questions people ask

Can it handle phone calls as well as chat?

Yes. Voice and chat answer from the same information, so a customer hears the same thing on either. You can start with whichever channel hurts most and add the other later.

What if it doesn't know the answer?

It says so, offers to connect the customer with a person and passes along the conversation. We also review the questions it couldn't answer regularly, so the gaps get filled.

Will customers know they aren't talking to a person?

We recommend telling people up front that they're talking to an assistant, and making it easy to ask for a person. Most customers care about a quick, correct answer and a clear way to reach someone when they need one.

Does this replace my support team?

No. It takes the routine questions so your team can spend its time on the cases that need judgment, patience or a personal touch.

Which tools can it connect to?

Usually the ones you already use, such as your help desk, CRM, calendar, order system and email. When a tool doesn't offer a connection, we build one.

What does it cost?

It depends on the channels you want covered, how much it needs to know and which tools it connects to. After a first conversation we give you a clear scope and an estimate. We usually suggest starting with the questions that cost you the most time.
