Solutions · Internal Workspaces

One place where your team can ask, find and get things done.

The answer is in a shared drive, a chat thread from last spring or one person's head. New hires ask the same people the same questions, and the people who know get interrupted all day.

We build a workspace around the way your team works: a teammate that knows your documents, simple forms for requests and approvals, and a dashboard that shows what matters.

What is an AI internal workspace?

An AI internal workspace is a private tool for your own team. It answers questions from your documents and policies, takes requests and approvals through simple forms, and shows the numbers your team checks every day. It is built around your processes and your permissions, so people see what they should and nothing else.

The knowledge is there. Reaching it is the hard part.

  • I've explained this process five times this month.

The people who know get interrupted all day.

  • New hires take weeks to work out where anything is.

The documents exist. They're just buried.

  • Requests arrive by email, chat and a sticky note.

Some get lost, and nobody can say which.

  • We pay for the tools but can't find what's in them.

Every search ends with "ask someone."

The knowledge is already in your business. It just isn't easy to reach.

What your team gets.

  • A teammate that knows your documents

Ask a question the way you'd ask a colleague and get the answer from your own policies and files, with the source shown.

  • Requests in one place

Time off, purchases, quotes and approvals go through one form, to the right person, with a status anyone can check.

  • Easier onboarding

New people can ask instead of interrupting, and follow a checklist that is always up to date.

  • A dashboard that matters

The few numbers your team checks every day, pulled together without anyone building the spreadsheet.

  • Permissions respected

People see what they're meant to see, and everything the workspace does is logged.

A new hire's second week.

She asks how refunds get approved, a question that used to go to the owner.

The workspace answers from your own policy, shows which document it came from and offers the refund request form.

She files it. The right person approves it from their phone. Nobody was interrupted.

See what it would answer for your team

We start small, around your questions.

We don't start with software. We start with the five questions your team asks most and the three requests that go missing, and build the smallest workspace that fixes those.

A first version often includes

  • A teammate that answers from your documents
  • One request form with approvals
  • A short onboarding checklist
  • A dashboard of the numbers you check daily
  • Connections to the tools you already use, so nothing is retyped
  • Permissions that match who should see what

Start with the smallest version that helps, then grow it.

What is looking for answers costing you?

Change the numbers to match your business. Nothing you type leaves this page.

Starting numbers. Change them to yours.

That's about $11,700 a year spent asking around and searching.

People on the team, times the minutes each spends a week, divided by 60, times the cost of an hour, times 52 weeks. It counts staff time only, not the interruptions to the people who answer. It's a rough estimate, not a promise of savings.

Is this right for your team?

Good fit if

  • People often ask each other for the same information
  • Your documents and policies exist but are hard to find
  • Onboarding means repeating the same explanations

Probably not yet if

  • Your documents don't exist yet (we can start by writing the essentials down)
  • A shared folder and a good search already do the job for a small team

What happens after you get in touch.

  1. Step 1: Tell us the questions and the requests

Share what your team asks most, what gets lost and where the answers live today.

  2. Step 2: We build the smallest useful version

We connect your documents and tools, set the permissions and try it with a few people on your team.

  3. Step 3: Your team uses it, and we keep improving it

We look at what it couldn't answer, fill the gaps and add the next request or dashboard once the first is in use.

Questions people ask

Is our data private?

The workspace is private to your team. We build it so that it only answers from the documents you give it, respects who is allowed to see what and keeps a log of what it does. We agree where the data is stored before we start.

Does it answer only from our own documents?

Yes. It answers from what you give it and shows the source. If the answer isn't there, it says so instead of guessing.

Which tools can it connect to?

Usually your shared drive, wiki, email, calendar, CRM and chat tools. When a tool doesn't offer a connection, we build one.

How is this different from a shared drive with search?

Search finds files. A workspace answers the question, shows where the answer came from and takes the request to the right person.

Do we need a big team for this?

No. It pays off when several people ask each other the same things. For a very small team a shared folder may be enough, and we'll tell you if that is the case.

What does it cost?

It depends on how many documents and tools it touches, who needs access and what the first version includes. After a first conversation we give you a clear scope and an estimate. We usually suggest starting with the questions your team asks most.
